VFJ Creations – Terms and Conditions

1. Scheduling a Shoot

To schedule a shoot, please contact us via mobile. Provide your preferred dates (weekdays or weekends) and the full address of the location. We will confirm our availability accordingly.

2. Shoot Cancellations & Rescheduling

  • Cancellations are allowed up to 24 hours before the scheduled shoot time.

  • For rescheduling, please inform us clearly of your new preferred date.

  • Cancellations made with less than 24 hours’ notice will incur a No-Shoot Fee of $150.

3. No-Shoot Fees

A No-Shoot Fee of $150 (as of 01/01/2024) applies in the following scenarios, provided we are already en route or have arrived at the location:

  1. The location is not shoot-ready (e.g., too messy).

  2. The property owner is not present.

  3. The shoot is canceled last minute or without notice.

  4. Cancellation occurs within 24 hours of the shoot.

Failure to pay the No-Shoot Fee within 30 days will result in forfeiture of one session from your package, and the shoot address will be marked as used.

4. Media Delivery

Post-production typically takes up to 1 month from the date of the shoot. Any delays will be communicated in advance.

5. Payment Terms

  • For single sessions, payment must be made prior to photo collection.

  • For package plans, full payment must be made before the first shoot to enjoy package discounts.

6. Refund Policy

All payments made are non-refundable.

7. Top-Up Fees

If you request additional services (e.g., staging or videography) during a basic shoot, a top-up invoice will be issued. These fees must be settled before photo/media collection.

8. Late Payment Fees

We appreciate timely payments to maintain a sustainable business. Invoices are due within 30 days. A 10% late payment fee per month will apply to overdue payments.

9. Copyright & Usage

  • VFJ Creations retains full copyright ownership of all photographs and media produced during the shoot.
  • Upon full payment, the client is granted a non-exclusive, non-transferable licence to use the media for personal, marketing, or business purposes directly related to the photographed property.
  • The media may not be resold, distributed, or used by third parties without written consent from VFJ Creations.
  • The media must not be altered or edited in a way that misrepresents the original work or brand of VFJ Creations.
  • VFJ Creations reserves the right to use the media across, but not limited to, the following:
    • Website portfolios and online galleries
    • Social media platforms
    • Printed marketing materials
    • Public exhibitions and trade shows
    • Educational and speaking engagements
    • Press features, awards submissions, and promotional campaigns

10. Package Coverage

  • Package pricing applies to HDB and Condominium properties only.

  • Landed properties are not included and may require multiple sessions from a package, depending on size.

11. Package Expiry

  • Packages are valid for 2 years from the invoice date.

  • After expiry, a top-up is required to align with the latest rates, plus an admin fee of $50.

  • Once topped up, the package validity is extended by 1 year from the top-up invoice date.

12. Right to Cancel

VFJ Creations reserves the right to cancel any scheduled shoot at any time and without prior notice, due to unforeseen circumstances or operational limitations. In such cases, we will offer a rescheduling option or refund if payment has been made.

13. Liability

VFJ Creations shall not be held liable for:

  • Any delays, cancellations, or loss of data due to unforeseen technical issues or equipment failure.

  • Any injury, property damage, or accidents during the shoot, unless caused by proven negligence.

  • Any third-party actions that may interfere with the shoot or delivery timeline.

Clients are responsible for ensuring that the property is safe and shoot-ready.

14. No Reshoots

VFJ Creations does not provide complimentary reshoots under any circumstances.

Clients are expected to be present during the shoot or send a trusted representative to oversee and approve the quality of the photos on-site. By the end of the shoot, it is assumed that the client has reviewed and is satisfied with the images captured.

  • No reshoot will be granted after the photos have been edited, even if the client is dissatisfied, as approval was presumed during the shoot.

  • If the client or representative is not present at the shoot, VFJ Creations will proceed based on our professional judgement, and no reshoot will be provided due to absence or dissatisfaction with the final images.

Should a reshoot be requested, it will be treated as a new booking and charged at current rates.

15. Acceptance of Terms

By proceeding with payment, you acknowledge and agree to all the terms and conditions stated above.

16. Terms Version

These Terms and Conditions are updated as of 01/01/2024. VFJ Creations reserves the right to amend these terms without prior notice.
